Getting started with OpusRH
From workspace creation to the first report: the complete journey, plus answers to the compliance questions.
1. Create your workspace
- Go to console.opusrh.com/signup and create your organisation. The 15-day trial starts immediately, no credit card.
- Confirm your email address and sign in: a verification code is sent to you (two-factor authentication by email).
- Invite your HR colleagues or managers from Accounts: each receives an activation link by email and sets their own password.
2. Deploy the agent on workstations
The OpusRH agent is a lightweight Windows executable. It enrols automatically with your workspace using an enrolment key, which you retrieve in the console (Devices & agents).
- Retrieve your enrolment key in the console.
- Deploy the agent with that key on the relevant workstations — manually or with your usual deployment tool (GPO, Intune, RMM).
- Workstations appear in Devices & agents at first contact; detected employees appear in Employees.
3. Organise teams and schedules
OpusRH computes activity only within the working hours you define. These schedules cascade:
| Level | Use |
|---|---|
| Company | The default schedule for the whole organisation (e.g. 9:00–12:30 / 14:00–17:30). |
| Team | When one team works differently (e.g. support on shifted hours). |
| Employee | For individual cases (part-time, personal arrangements). |
Each level inherits from the one above: you only configure the exceptions. The time zone follows the same cascade — essential for distributed teams.
Then attach each employee to a team, designate team managers (they only see their own teams), and rename technical identities into readable names using aliases.
4. Reading timelines and rates
A day reads in three states: active (interactions detected), inactive (session open, no interaction) and uncovered (no data). Breaks and off-hours are neither shown nor counted.
The activity rate compares active time to the working window. Weekly and monthly views use constant colour thresholds:
A low rate is not a fault: off-desk meetings, travel, paper work… The timeline is a conversation starter, not a verdict.
5. Reports & notifications
Each account tunes its own delivery in My notifications:
- Periodic reports — daily, weekly, monthly — sent at midnight in your time zone, covering the elapsed period.
- Team selection — receive only the teams that matter to you.
- Individual follow-up — a dedicated daily report on a few people, independent from team reports.
- Anomaly alerts — an email whenever a flag concerns an employee you follow.
Email templates (subject, content, branding) are edited visually in the console, in French and English.
6. Understanding anomaly flags
OpusRH spots the typical patterns of presence simulators (artificial mouse movers, typing macros): a mouse that moves but never clicks, abnormally constant movement speed, mechanical typing cadence, very few distinct keys, uninterrupted typing for hours, keyboard activity with no foreground application, continuous presence without a single break…
Each flag states what was observed and over which period, in plain language. It is sent to the people following that employee, and shown in the console. No automated action is taken: no blocking, no sanction — analysis and decisions stay human.
Each signal's sensitivity is tuned in the settings, globally or per company.
7. GDPR & compliance
Roles. Your company decides on the measurement and its purposes: it is the data controller. OpusRH hosts and processes on your behalf: it is a processor (Art. 28 GDPR), bound by a data processing agreement.
What the agent collects, exactly:
| Data | Content |
|---|---|
| Activity | Mouse/keyboard event counters per period — numbers, never the keystrokes themselves. |
| Application | The foreground program and its window title. |
| Session | Windows session logon, lock, sleep; workstation identifier. |
| Never | Keystroke content, screenshots, webcam/microphone, files, workstation IP address. |
Your obligations as an employer: inform employees individually before deployment, consult staff representatives where applicable, and carry out a data protection impact assessment (DPIA) — employee activity monitoring is subject to one. OpusRH provides the full technical description (data, purposes, retention, security, sub-processors) to conduct it.
Individual rights: the GDPR export (in the settings) returns all of an employee's data as CSV files — identity, sessions, activity, devices — to answer access and portability requests. Every export is logged.
Retention: data is deleted 365 days after the contract ends, and 60 days after a trial without subscription. Hosted in France (OVH, Roubaix).
